The key to having a good project management system is regular reviews of the current development landscape. We encourage people to do this once a week. During the weekly review, you talk about what was accomplished last week, what you plan to do next week, and what blocks (if any) you have. Each weekly period is called an “iteration” (an Agile term).
Designating the job for the next iteration is more of an art than a science. Much of it comes down to estimating and calculating how long it will take to complete various tasks. It’s usually better to underselect than overselect, because if you finish early, you can always get something more out of the backlog. (By the way, backlog saves all future tasks.)
Once the job is assigned, all you need to do is track the progress to make sure everything is up and running on time. At Gunner Technology, we base much of our project management on web-based software called Redmine, which is a tool that allows you to track and manage tasks. You can add all the users in your organization, create week-long sprints, and assign tasks to those sprints.
Another key factor in managing multiple projects simultaneously is managing your time well. Improving your time management skills is largely the result of hands-on experience. Most people have to find what works for them. (And it doesn’t matter how you manage your time, as long as what you do allows you to get the job done on time and to the level of quality you need.)
How To Manage Resources Across Multiple Projects
With that being said, there are a few things that we have found very successful for optimal time management. A great thing to do is group your work. We often talk about getting in the zone (similar to Michal Csikszentmihalya’s idea of ”flow”) when you’re working on a piece of software and your mind is fully focused on the task at hand and code flies off your finger.
What often makes it difficult to get into the zone are the constant distractions that you should try to control as much as possible. But another mistake we see is switching tasks too often. If you work on five projects Monday through Friday, it’s better to spend 10 hours a day on a single project than 2 hours a day on each of them every day. You must focus on a task with all your heart (or all your mind).
Even better, though, is to split your days by working on two five-hour projects a day, which often have the added benefit of finishing rework sooner. This has two notable advantages: first, if you inevitably run into something that takes longer than you imagined, you’ll have more time to deal with it; and second, if you have a lot of spare hours at the end of an iteration, you can always pull some backlog and move on.
Another trick to help you get in the zone is a little counterintuitive, but it’s actually something creative people have been using for centuries. (Hemingway, for example, used this trick, stopping writing as soon as he knew what was coming so he could dive in and write the next piece the next day.) to stop working. When you pick it up the next day, you know exactly where you left it and you can get right back to work.
