And assign them to multiple tasks in different ways. To enter basic information about each person into a data sheet and assign it to a task using the input table and toolbar: 1. The 2013 draft then classifies these people based on their seniority. For example, if a person can only work 50% of the time on most projects, enter 50% for that person in Max. units. When you enter this person as a task resource, their default hours are 50% of a normal eight-hour workday, or four hours per day. You can also enter the number of hours each person must work, as shown later. 3. Allocation of resources to tasks. On the View tab, select the Gantt Chart button under the Task Views group, and then select the All button to return to the input tab. To use Microsoft Project 2013 A.49 with more than one resource, simply select another box using the dropdown arrow. Project 2013 assumes that each resource is assigned to tasks full-time using this method because the task is automatically scheduled. Also note that after importing resources, you can use the resource name filter to view tasks assigned to specific resources. In the Resource Names cell for row 5, click (Project Charter). Click the bullet in the list, then click the check box next to Dan and Cathy and press Enter. Note that both item names for this task appear in the Item Name column and the Gantt chart, and the task duration is 1 week. 6. Change sources. For Activity 2, Identify stakeholders, click the list arrow, and then click As another resource in the cell. When you change the initial resource assignment, Project will ask you how to make the change shown in Figure A-46. Click the exclamation mark to read your options. In previous versions of Project, adding resources would change tables automatically unless the user entered them in a specific way. The next chapter shows you how to manage input parameters. First, right-click the Select All button to the left of the Function Status column header and select an entry to return to the entry tab. To manage resources and work orders using the resource details panel: 1. Open the Resources form. Note the red symbols in the columns indicating lines/functions 2 and 5. Right-click the Select All button and go to Import Tab. For Tasks 2 and 5, click the drop-down list in the Task Mode column and set them to Manual. When allocating resources, Project 2013 assumed that you worked full-time or 40 hours per week for each task. There is an overlap because the two activities have overlapping dates. You don’t expect each resource to work that many hours, so you can replace it by using the resource form. 3. Changing the number of working hours. In the top pane, select Task 2, Define Stakeholders, then click the task column in the Kathy Information Form window at the bottom of your screen. Enter 10 hours, press Enter, and enter 10 hours again and press Enter for the next task, Task 5, Project Charter, and then click OK. Click Next to display the Backup Dan form, as shown in Figure A-47. 4. Enter additional working hours and view the Gantt chart. Also, for Exercises 2 and 5, change Dan’s work time to 10 hours. In the Gantt chart, notice that the duration of tasks 2 and 5 is still one week. The total area indicator should now disappear as the number of hours has been reduced from days.
